Parent Submission Rules Configuration

This document outlines the process for configuring parent submission rules within a school's system. These rules determine the cutoff times and advance submission requirements for parents when submitting passes for their children. By following these steps, educational institutions can efficiently manage and communicate submission guidelines to parents.

Step 1

Access the rules section for parent submissions. Here, two new rules can be configured: "Same Day Submission Cut Off For Parents" and "Submit In Advance Rule For Parents."

Step 2

Configure the "Same Day Submission Cut Off For Parents" rule to set a specific time after which parents will not be able to submit a pass. For instance, set the cutoff time to 3:00 PM, which corresponds to the end of the school day. Additionally, configure the "Submit In Advance Rule For Parents" to specify that a pass must be submitted a certain amount of time before the pass start time, such as one hour.

Step 3

Determine the submission advance time in hours or minutes. In this example, set the requirement to at least 45 minutes before the pass start time.

Step 4

Save the configurations and review the interface from the parent's perspective. If the submission window is still open for a pass type, it will display a tooltip under the pass name. In cases where the time has not yet passed, it will not be displayed.

Step 5

Upon selecting a pass, a notice will inform the user that the submission time closes at 3:00 PM. If the current time is before 3:00 PM, submissions are allowed. However, if the submission does not meet the requirement of being at least 45 minutes before the start time, it will be highlighted in red.

Step 6

To comply with the advance submission rule, ensure the submission time is at least 44 to 45 minutes from the current time. For example, if the current time is 3:15 PM, the system will permit pass submissions. This can also be verified in the family app.

Step 7

For pass types with a same-day cutoff time before 9:00 AM, parents will see a tooltip beneath the pass name indicating that submissions are closed for today after 9:00 AM. Upon opening the pass, a red notice will inform them that submissions for today are closed, allowing only future date submissions.

Step 8

The "Same Day Submission Cut Off For Parents" rule applies only to the current day and not to future dates. For future dates, such as the 20th, the indicator will turn yellow, signifying that pass submissions are allowed for the specified time.
