
This document outlines the process of utilizing email templates within HubSpot for effective customer communication. It provides a step-by-step guide to help you explore, customize, and send emails using predefined templates to streamline your messaging workflows.
Navigate to the CRM section of HubSpot and scroll down until you locate the "Message Templates" section to explore the email templates used for automated customer communication.

Once loaded, you will see all email templates created by users. You can filter these templates by specific owners if you wish to narrow down the selection.

To find "Smart Sell," type it into the search bar. Access the "Smart Sell" legal folder to view the different templates available. Inside the folder, templates are named using a common convention for easy identification.

Templates begin with "Smart Sell 2.0," followed by a category, email type, and call to action in parentheses. For example, "Smart Sell 2.0 Legal First Touch Email number one" includes a meeting and landing page call to action.

Click on the email to view its content. This view shows what will be sent to customers, either directly or through a sequence. Personalization tokens are present to replace placeholders with actual HubSpot data.

In this instance, "Hi contact first name" is automatically replaced with the contact's first name from HubSpot. The email contains various links, such as a meeting scheduling link and a white paper or landing page link. Your signature is added automatically.

Templates can be used in direct emails or sequences. Let's explore how to utilize this template for a one-on-one client email.

On a company page for a legal client, navigate to the "Activities" tab and click on it. Then, find and select the "Emails" section within the "Activities" tab.

If no emails have been sent to this company yet, create a new email. In the pop-up, locate the area for templates and click "Templates."

All templates will be displayed. As before, search for "Smart Sell," find the "Legal" folder, and select the desired email template.

The template automatically populates your email message, including personal meeting links and the recipient's first name. You can now proceed to send the email and maintain a record of sent communications.

Using the template for a one-on-one email is quick, easy, and effective. You can insert the template and still make changes.

Return to the template, search for "Smart Sell," insert it, and make any personal modifications you desire before sending.
