BedTracker has evolved from a simple bed management system to a comprehensive facility management solution. This software integrates seamlessly with PCC, reducing the need for manual data entry. Many functions, including information retrieval, are automated to streamline operations and ensure accuracy. The following steps will guide you through the main features and functionalities of BedTracker.
Begin by familiarizing yourself with the BedTracker interface. Originally designed as a bed management system, it now serves as a facility management tool. This software is compatible with PCC, meaning much of the data is automatically imported, minimizing the need for manual entry.

The system automatically fetches data from PCC. Although some manual input is required, it is kept to a minimum for efficiency.

The dashboard provides an overview of the facility, which currently houses 27 beds.

Presently, the facility has 190 occupied beds, resulting in an 84% occupancy rate. Additionally, there are four beds available, nine that require cleaning, nine reserved for new admissions, and seven reserved for patients temporarily out of the hospital. Insurance details are also available on the dashboard, highlighting information such as the number of Medicare patients with less than 30 days remaining.

For example, patient John Kerry has 20 days of Medicare coverage left. The dashboard displays data on Medicares with less than 60 days, along with Medicaid, HMO, private pay, non-payer details, and patients readmitted within 30 days.

Navigate to the floor management system, which functions as a digital bed board. Facility blueprints and floor plans are digitized for easy management.

The digitized system simplifies room changes. Whether accommodating new admissions, addressing interpersonal issues, or meeting specific patient needs like proximity to the nurse's station, the system facilitates room adjustments efficiently.

The system also allows you to view and manage patient assignments, such as John Kerry and George W. Bush.

By selecting a patient, such as Giuliani, you can assign rooms across multiple floors efficiently. Simply scroll through the available floors, whether it's 5, 10, or 20 floors.

All bed management functions are accessible here. Patient room numbers in PCC will automatically appear in the system, eliminating the need for manual entry.

Ensure data accuracy, as the system synchronizes with PCC. Now, transition to bed management details.

In the bed management section, you'll find patient names, room numbers, room statuses, ages, and contact information. This information aids in generating grievance forms, admission packets, and more, automatically reaching the assigned emergency contact.

The system displays patient admission dates, gender, patient type, isolation status, and medical conditions, such as tube feedings, catheters, oxygen usage, wounds, antibiotics, psychological conditions, diabetes, and more.

Reports can be generated to show the prevalence of these conditions within the facility. Insurance information, including primary and secondary coverages, is also managed here.

Patients may have various insurances, categorized under Medicare, Medicaid, or other options.

When a patient has Medicare, the system activates a countdown for the remaining coverage days, automatically updating each day.

With a visual notification, you'll know when a patient has 20 days left, allowing you to plan for discharge or evaluate further insurance options. Manage rental equipment, documenting items like specialty mattresses or seats.

Upon checking equipment, indicate if it's rented or owned. This ensures efficient management when a patient is discharged, prompting an automatic pickup request.

For instance, if a patient from room 101, bed B, needs their air mattress collected, this process is streamlined. Additionally, the system houses grievance forms for further functionality.

The census report replaces traditional email updates from admissions directors, summarizing bed availability, occupancy rates, admissions, discharges, and pending referrals.

Admissions directors add referrals when receiving them from hospitals. This includes entering the patient's name and details.

For example, input Joe H's details, including Medicare information. Once saved, if Joe H decides to join the facility, simply assign them an available room from the list.

Finalize the process by assigning the room, and Joe H will be integrated into the facility system.
