This process outlines the steps to efficiently manage contacts and deals, ensuring seamless scheduling and communication. It provides guidance on creating and handling contacts and deals, while emphasizing the importance of avoiding duplicates and adhering to naming conventions.
In most instances, contacts are automatically created when a client books a consultation through Calendly. Before proceeding with manual creation, always perform a search by name and email to prevent duplicates. Utilize the Pipedrive search bar as shown below.

If a contact is missing, click the "Add" button and select "Person" from the options.

Ensure to include at least the person's full name, email address, phone number, and country. Although anyone can create a contact, exercise caution.

Avoid creating duplicates as they can cause confusion. Once a consultation is booked or completed, proceed to create a deal. Only create a deal if it was not automatically generated.

Use the naming convention:
[ROUTE] – [Client Name]

Ensure you select "Active Sales."

Add contact person by typing in the contact you just created.

Confirm that the pipeline is set to "Consultation."

If additional fields are known, feel free to add them here. The deal indicates our commercial status with the client.

Keep the stage, value, and owner updated so that all parties, including payments and legal, have consistent information.
