This document provides a comprehensive walkthrough on how to assign content to users in Allego, ensuring a seamless and efficient content management process.
Begin by using the search bar located at the top of the Allego interface to facilitate the process of assigning content.

Type the name of the content you wish to assign into the search bar. For example, if you are looking for an "Account Management" course, input that term to locate it.

Instead of clicking immediately on options, press 'Enter' to display all relevant search results. The extent of content displayed may vary based on your permissions and access level.

To refine the search results, use the type dropdown menu. If you need to assign a course, select 'Course' to display only relevant course options, such as "Account Health and Risk Management for CSMs."

Locate the three dots on the right side of the content and click on 'Manage Audience' to access the management screen where you can view past assignments.

To add a new audience, click the plus sign for new dates and alerts. Enter the name or user group of the intended recipients, such as a sample user.

If assigning content to a group, consider adding an audience name to keep track of the assignment. Ensure that the "subscribed/enrolled" option is selected for automatic enrollment.

Optionally, you can share the course instead of assigning it, allowing users the choice to enroll. For mandatory completion, turn off the toggle that allows users to unsubscribe.

Determine the start date for the content assignment. You may choose to begin immediately or schedule a specific date and time, such as the next day at 9:00 AM.

Select the desired date and time for commencement and set a due date if necessary.

Selecting 'Never' indicates no formal due date, allowing users to complete the course at their convenience. Alternatively, choose a specific completion date.

To set a precise deadline, opt for the 'On' setting and choose the desired due date, such as the end of the week.

Decide whether to prevent new members from being automatically assigned to the course if added to the user group later, which is particularly useful for group assignments.

If this setting is not selected, any future additions to the user group, such as CSMs, will be automatically enrolled. For group assignments, it's often preferred to set a cut-off date for new enrollments.

Though new members can be added later, this setting prevents the course from being their initial focus. It is more relevant for groups; individual assignments may leave it toggled off.

Utilize all notification and reminder options available. Notify users via email and mobile push notifications, and customize these alerts as needed.

Enable reminders to ensure users receive timely notifications. Consider setting reminders for two days post-start and a week later.

Consider additional reminders one day before the due date. Upon finalizing, verify the warning message indicating that the course will be shared with a user, confirming the settings.

Adding audience managers is optional but allows non-direct managers to track user progress. Direct managers inherently have this capability.

To complete the assignment, click 'Share.' If you encounter any prompts, ensure you proceed with sharing the content with the user.

Upon updating the collection, revisit the course, and access 'Manage Audience' to confirm the addition of the new audience, such as a sample CS user profile. Adjust settings as needed before the start date and time.

Changes can be made up to the scheduled start time. For instance, modify the start time to 7:00 AM if necessary and click 'Share' to update.

All modifications must be finalized by the start date and time. Should an audience be mistakenly assigned content, they can be removed.

To remove an audience from the assignment, use the available option. This completes the process of assigning content in Allego.
