    Zuora Quote Configuration

This document provides a structured approach to configuring and managing features within Zuora Quote Studio, enabling administrators to control access, set permissions, and customize functionalities for different user profiles.

    Step 1

Navigate to the restricted access configuration under Quote Studio Settings. Starting from CPQX version 10.8.1, administrators can limit visibility of certain Quote Studio features for specific user profiles. This setting allows you to select a profile and feature to hide, and choose the applicable quote flow type for the restriction.

    Step 2

For instance, if you need to restrict new quote creation for a standard platform user, select the corresponding checkboxes where the user with this profile will not have access to the chosen option across new quote, amend quote, renew quote, and cancel quote scenarios. Save the setting to apply the restrictions.

    Step 3

Once configured, users with the standard platform user profile will be unable to view or initiate the ramp quote creation process while creating a new quote, amendment quote, renewal quote, or cancel quote. You can restrict features such as med interval update, ramp quote creation, flexible billing, and more.

    Step 4

Upon setting the restrictions, users with the specified profile will no longer see the restricted features on their Quote Studio page. Save the settings and proceed to configure feature access settings. In Zuora Quote Studio, administrators can define user permissions for actions involving pending subscriptions.

    Step 5

This configuration allows control over which users can create, edit, activate pending subscriptions, and manage flexible renewals. These settings ensure only authorized roles can make changes, with permissions adjustable by quote type.

    Step 6

Permissions can be set for new, amend, renew, or cancel quotes to align access with specific business rules. For instance, sales representatives may be allowed to create new quotes in pending subscriptions, while managers handle cancellations. This control helps prevent errors, clarifies responsibilities, and secures sensitive subscription activities.

    Step 7

As we have not begun exploring pending subscriptions, we will not make changes here. Proceed to the plug-ins settings. The plug-ins section in Zuora CPQX offers tools to extend and customize Quote Studio behavior via configuration. Administrators can use these plug-ins to adapt quoting processes to business needs without extensive custom development.

    Step 8

Available plug-ins include the default value plug-in, which automatically populates specific fields to save time and improve accuracy. Since there is no plug-in class available, it will not be activated now. The billing account plug-in manages how billing accounts are selected and associated during quoting.

    Step 9

The look-up filter plug-in adds filters to look-ups, ensuring users see only relevant records when searching. Additionally, the custom action plug-in introduces bespoke actions within Quote Studio, enabling integration of business-specific workflows. The entity plug-in supports multi-entity setups by managing entity selection and association in quotes.

    Step 10

Each plug-in can be configured directly under the plug-ins tab in Zuora config. This involves steps to register, define, and activate the desired functionality. Together, these plug-ins provide a flexible framework for tailoring CPQX to your organization’s quoting needs.

    Step 11

Finally, review the display scale settings. This feature allows you to determine how many decimal places are shown in Quote Studio for prices, discounts, and totals. It is particularly useful for usage and non-usage charge types.

    Screenshot

    Step 12

The settings include scales from one to nine for fields such as effective price, list price, list total, total discounts, effective price discounts, and list price.

    Screenshot

    Step 13

An option called 'send rounded figures to Zuora' allows you to send rounded numbers, as displayed in Quote Studio, to Zuora instead of full precision values. The default scale is set to two decimal places.

    Screenshot

    Step 14

This setting helps ensure consistency in value display and optionally in storage and transmission. We will not enable the option to send rounded figures to Zuora at this time.

    Screenshot

    Step 15

The decimal places setting is currently set to two, so all prices and numerical fields will display two decimal places.
