Streamlined Customer Setup in HubSpot

This document provides a concise guide to setting up a new customer in HubSpot. The process is designed to enhance connectivity within systems, improve transparency, and reduce administrative time. By following these steps, you can efficiently request a new customer setup and obtain a database account number from the finance team directly through HubSpot.

Step 1

To begin the process, navigate to the company's main home page. On the left-hand side, scroll down to the Billing Data section. If you notice the absence of a database count number and credit status, this indicates a new customer setup is required. Proceed by selecting the Finance tab at the top of the page. Here, you will find an option labeled "New OMS Customer Set-Up." Click on this button.

Upon clicking the "New OMS Customer Setup Button", a form will appear to collect information about the account. Ensure all necessary fields are completed.

Check for association requirements related to the contact, ensuring a billing contact, Invoice Contact & AI Enablement Contact are set up and associated.

If an invoice required contact association is missing, navigate to the existing contact field in the top right corner. Select the three-dot menu button inside the contact box and choose "Edit Association Labels".

After making the necessary changes, click outside the box (this closes the dropdown menu and reveals the Update button). Click Update. Next, click "Refresh Contacts" to ensure all requirements are now met, indicated by green status options.

When entering the OMS database information, utilize the dropdown menu to select the correct market from the list provided. These selections are accurately mapped to the OMS database specific to your market. For this example, select Lincoln, ensure all requested information is entered, and submit the request by scrolling to the bottom of the page.

Upon submission, the request will be processed.

Once the processing and approval are complete, you will receive an email update regarding the status of the finance change and setup.
