Efficient Shift Management with the Shift Billboard

The Shift Billboard streamlines the process of managing open shifts for both supervisors and employees. This tool allows supervisors to easily post unfilled shifts and provides employees with the opportunity to claim or bid on them. By offering features like first-come-first-serve claims, bidding processes, and automated enforcement of rules and qualifications, it ensures a transparent and efficient workflow, ultimately contributing to improved service levels and flight punctuality.

Step 1

In the dynamic environment of ground operations, situations can change rapidly with unexpected calls, added flights, and shifting coverage needs. The Shift Billboard simplifies the management of open shifts for both supervisors and employees, ensuring quick and transparent handling of these changes.

Step 2

As a supervisor, you can view which shifts remain unfilled, indicated by the red "Unassigned" category. Instead of manually assigning these shifts, you can post them to the Shift Billboard, offering employees the opportunity to take them up. You can choose to post the shift as first-come-first-serve or initiate a bidding process where employees can submit bids. You then have time to review these bids and decide the award based on criteria such as seniority.

Step 3

Based on criteria like hours worked or overtime, you can allocate shifts to specific groups before posting them. Switching to the employee view via the mobile app or desktop, employees can access the Shift Billboard to see available shifts matching their roles, highlighted by the green triangle on the schedule.

Step 4

When checking the schedule for tomorrow, employees can view open shifts. They might see both first-come-first-serve shifts, like the one recently posted by a manager, and bidding options. Employees can choose to claim an available first-come-first-serve shift immediately.

Step 5

Once an employee claims a shift, it is instantly visible on their schedule. Employees can also post shifts they cannot cover. For instance, if an employee needs their Friday shift covered, they can access their schedule, select the shift, and initiate the posting process.

Step 6

Within the shift details, employees can manage their shifts by clicking on the billboard option. They can post the entire shift or a portion of it for others to bid on. The system automatically enforces union rules, overtime limits, and qualifications to ensure only eligible employees can bid or be awarded the shift.

Step 7

Submitted bids are sent to the supervisor in real-time, ready for review in the Open Shift Manager.

Step 8

In the Open Shift Manager, supervisors can review and sort bids based on criteria like seniority. By clicking on shifts in the "Pending Actions" category, supervisors can see all bids submitted for a shift, prioritize them based on criteria, and make informed decisions.

Step 9

For instance, if the highest priority is given to the most senior employee, the supervisor can assign the shift to the appropriate individual, such as Abigail, with a simple click.

Step 10

The assigned shift is updated on the schedule and timesheet. Additionally, the Open Shift Manager provides insight into active posts, allowing supervisors to monitor which shifts are attracting bids and which are not.

Step 11

In cases where shifts receive no bids, supervisors have the option to assign them directly or withdraw the post. The Open Shift Manager also allows supervisors to view open or unassigned shifts on their schedule and post them to the billboard from this interface.

Step 12

Overall, the Shift Billboard offers both supervisors and employees greater flexibility, enhancing coverage, reducing manual coordination, and supporting ground operations teams in maintaining flight schedules and service quality.
