Central IQ Data Deletion Process

The data deletion process in Central IQ allows users to configure and execute the removal or anonymization of various data types. This procedure is customizable to meet organizational needs, ensuring compliance and data hygiene.

Step 1

To initiate the data deletion module in Central IQ, navigate to System Administration, then GDPR Tools, and select Delete Ex-Employee Data. Here, you will create a set of rules that will be executed to manage data deletion.

To configure the rules, go to the Setup section under Data Deletion Rules and create a map. If there are existing rules, you can right-click on the top, select Add New, and add a new rule, for instance, Test 2. Define the frequency of the rule execution, for example, every five years, to delete specific data such as banking details.

In the data picker, you'll see options similar to what you find in the payroll section, including employment and personnel records. Note that some employment records cannot be deleted due to links to HMRC, but they can be anonymized.

For this demonstration, we will use personnel records, which are more straightforward. You can choose to delete all data from this section or select specific parts for deletion.

Some data items are locked and cannot be deleted. These are essential base data and should be retained unless absolutely necessary to remove them.

I will now clear the selected data fields and create a map focusing on nationality and NI number, which will suffice for the first screen. The subsequent part of the process is aligned with the menu options on the right-hand side.

Next, I will completely remove contact information, previous employment data, and folder after folder of education and medical history data.

You will notice that only selected items appear in this view. We will further examine these during the recording phase.

To clarify, we have completed the data selection on the personnel screen. I anticipate certain data items to be anonymized or deleted. This process can also be applied to employment records, particularly for payroll data and banking details, which should be prioritized for deletion.
