
This document explains how to create a calendar event in Google Calendar, including adding a title, guests, online or in‑person meeting details, and an agenda so invitees receive a clear and complete meeting invitation.
Use this guide to schedule a meeting in Google Calendar by selecting a date and time, adding a clear title, inviting guests, choosing between an online Google Meet link or an in‑person location, and including an agenda so invitees understand the purpose of the meeting before you save and send the invitation.
On the main Google Calendar screen, you will see the current week in the main view and the month’s dates in the left-hand panel. Navigate to the date on which you want to schedule your event; for example, select the 20th in the calendar.
Click on the desired time slot for your meeting on the selected date. This opens the event creation window. In this window, enter a clear and descriptive event title (for example, “Project Status Meeting”).

In the event creation window, use the “Guests” or “Add guests” field to invite participants. Start typing the names or email addresses of the people you want to invite (such as members of your team) and select them from the suggestions.

Decide whether the meeting will be online or in person:



Use the event description field to add the agenda or key points for the meeting. This helps invitees understand the purpose of the meeting when they receive the invitation.

When you are done configuring the details, click “Save” to create the event.


Your guests will receive an email notification with the event details and, if applicable, the Google Meet link.


After completing these steps, your event will be created in Google Calendar with the selected date, time, title, guests, meeting type, location, and agenda. Invitees will automatically receive an email notification containing the event details and, if set, a Google Meet link so everyone is prepared and ready to join the meeting.
