Step 1

Begin by utilizing the AI-powered customer duplicate checker, a smart tool designed to help maintain clean and duplicate-free customer data within Viz Order. As you create or edit a customer, Viz Order will automatically check for potential duplicates in real-time. The system cross-references the information you enter, such as company names, contact details, email addresses, and phone numbers, against all existing customer records.

Step 2

Each customer may have multiple contacts and addresses; therefore, the system scans across customer contact and address attributes to ensure no record is overlooked. If a possible duplicate is detected, a warning icon will appear. Clicking this icon will display a floating duplicate checker widget on-screen. This widget shows similar records with a similarity score categorized as high, medium, or low based on the closeness of the match and the importance of the field detected.

Step 3

Quickly review the existing customer's key details, such as names, contacts, and addresses. If necessary, click on the "open in new tab" icon to view the full record before making a decision. Some fields, like company names, can be marked as unique within organizational settings.

If an exact match is detected, Viz Order will prevent the creation of a duplicate record, as indicated by a "customer name already exists" warning. In this scenario, the add button will be disabled.

For other fields, the system will warn you while still allowing the creation of a new customer. If you choose to proceed despite potential duplicates, Viz Order provides one final safeguard with a confirmation pop-up highlighting all high-similarity matches detected.

You can either review the matches or proceed to create the entry if confident it represents a new customer.
